Billing, lessons & renewal

Pay-As-You-Go: Billed per session. No ongoing commitment, nothing renews.

Monthly: Each month includes 4 lessons for every weekly session you choose (for example, 2× a week is 8 lessons a month). Months with a fifth week do not add lessons. It renews automatically until you tell us to stop; cancel any time with 7 days’ notice before your next billing date by email or text, and we confirm in writing. Your billing date is the same day each month as your first payment (first payment on the 12th, then the 12th of each month).

Semester (4 months): 16 lessons for every weekly session, scheduled across four consecutive calendar-month billing periods (for example, 2× a week is 32 lessons). It may span more than 16 actual calendar weeks. It does not auto-renew; we check in with you before it ends. Paid upfront, you make one payment before the first session.

Semester, billed monthly: The same 16 lessons per weekly session, paid in 4 equal installments on the same calendar day each month, starting on your first payment date. Your accepted invoice/quote confirms all four due dates. Early-exit costs are in “Ending a Semester early.”

Rescheduling & cancellation (client)

Reschedule with 12+ hours’ notice and we arrange a make-up within 2 weeks. Each make-up uses one make-up credit.

Make-up credits per month

• 1× a week: 1 credit
• 2–3× a week: 2 credits
• 4–5× a week: 3 credits

Credits do not carry over. A cancellation with 12+ hours’ notice after your credits are used is treated as a late cancellation. We will always try to help if we have room.

Late cancellation or no-show: the session is forfeited and billed as normal. A no-show means the student has not arrived or joined within 10 minutes of the start time.

In-Home sessions: the same 12-hour rule applies. A $15 travel fee is added only if your tutor had already left for your home when you cancelled or didn’t answer. If you cancel before they leave, there is no travel fee.

Client emergencies: Genuine emergencies (illness, accidents) are handled case by case, generally up to 2 times in any rolling 4-month period, and do not use a make-up credit.

Repeated disruptions: If there are 3 or more late cancellations or no-shows in any rolling 2-month period, we may pause make-ups, ask for payment in advance, or end the arrangement with 2 weeks’ written notice. If it ends this way: Monthly is charged for the current month and any later months paid are refunded in full; a Semester is re-priced as in “Ending a Semester early” and the balance refunded.

If we miss a session

None of the following counts against your make-up credits or is billed to you.

Tutor illness or emergency: We give as much notice as we can. You get a free make-up within 2 weeks. If that doesn’t work for you, or we can’t offer one, you choose a refund or a credit for that session. Any extra goodwill gesture is at our discretion.

Library closure: We move the session to another branch or to Virtual the same day if you can, or arrange a free make-up.

Internet or technology outage: If the outage is on our side, the missed time is made up free of charge. If it is on your side, tell us within 15 minutes of the start: we will try to reconnect, and if we can’t, it counts as a reschedule (one make-up credit). Otherwise it is a no-show.

Scheduling error: If we booked the wrong time or place, the make-up is free. If the details came from the family in error, we treat the first time as a courtesy and later times as a late cancellation.

Ending a Semester early

One rule covers both Semester options: delivered or chargeable lessons are re-priced at the standard Monthly per-lesson rate. Undelivered future lessons are not charged. The full semester discount is for finishing all 4 months.

• Paid upfront: you receive a refund of the prepaid amount minus chargeable lessons at the standard Monthly per-lesson rate. Eligible refunds are issued within 10 business days after reconciliation.
• Billed monthly: remaining installments stop. We invoice any unpaid amount for chargeable lessons or refund an overpayment after reconciliation.

Pausing: one pause of up to 2 weeks per semester for illness, travel or school breaks. The end date moves out by the length of the pause; no lessons are lost.

Switching formats: you can switch between Library, Virtual and In-Home. Remaining lessons bill at the new format’s rate, including the In-Home premium where it applies, and any difference is credited or invoiced with your next payment.

Extended sessions

Want more than the scheduled hour? Additional time is billed at your current per-session rate, prorated to the nearest 15 minutes. Please request it at least 24 hours before your session so we can confirm scheduling and payment; extensions can’t always be accommodated same-day.

Students under 18

Students under 18 must be enrolled by a parent or legal guardian, who signs the Service Agreement and Parental Consent before the first session and is the contact for scheduling and payment. Read how we keep students safe on our Student Safety page.
